About the job
The HR Officer (Military Registration) will be responsible for organizing and maintaining accurate military registration of conscripts, persons liable for military service, and reservists working in DRC Ukraine, in accordance with national legislation. The role includes verifying documentation upon hiring, submitting mandatory reports to relevant authorities, conducting data reconciliation, and supporting internal compliance processes.
Your main duties and responsibilities will be:
- Maintain accurate records of conscripts, military liable staff, and reservists within DRC Ukraine.
- Verify the presence and completeness of military documents at the time of hiring.
- Notify the TRSSC (Territorial Recruitment and Social Support Center), SSU, or intelligence bodies within 7 days about employment-related changes.
- Notify staff of summons and ensure timely appearance when required.
- Submit staff data upon official request from authorized institutions.
- Conduct awareness activities among staff on military registration requirements.
- Maintain and update personal military registration lists and operational registers.
- Record any updates in personal data (residence, marital status, education, etc.) within 5 days of receiving documentation or digital confirmation via Diia.
- Submit monthly updates to relevant authorities regarding changes in personal information.
- Reconcile internal records with military registration documents annually.
- Coordinate with external institutions (TRSSC, SSU, etc.) regarding verification, notifications, and updates.
- Accept and transfer military documents for reservation/mobilization processing when needed.
- Monitor internal compliance with procedures and ensure printed registration rules are visible.
- Maintain a log of inspections, correspondence, and document storage according to policy.
- Draft annual orders and plans on the status of military registration for internal reporting.
About you
To be successful in this role we expect you to have at least 2 years' experience in HR field with a focus on military registration of personnel. Moreover, we also expect the following:
Required
- Secondary specialized or higher education in Human Resources, Law, Public Administration, or related field.
- Completion of training in military registration.
- Strong knowledge of Ukrainian labor and military registration legislation.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Fluency in Ukrainian; basic English is an asset.
Desirable
- Experience working with the public sector or NGOs.
- Familiarity with internal document management systems.
