Overall purpose of the role:
The Supply Chain Assistant will provide support to DRC’s Supply Chain and administrative operations, primarily focused on procurement, warehouse and asset support, fleet coordination, and premises maintenance, contributing to the efficient, compliant, and timely implementation of supply chain activities in accordance with DRC procedures, donor requirements, and operational needs.
The assistant will report directly to the Area Manager (Line Manager) and technically to the Supply Chain Specialist (Technical Manager). In exceptional cases and upon written pre-approval of the Line Manager, the assistant may be requested to support other departments.
The Supply Chain Assistant is expected to work in line with DRC’s official daily working hours (08:00–16:00 or 09:00–17:00, based on location). Depending on operational needs, flexibility might be required, including weekend or extended hours.
The assistant may be required to operate from different DRC premises and/or visit supplier/vendor/warehouse sites within the region.

Key Responsibilities:
- Procurement Support:
- Ensure that all procurement orders are tracked from the point of planning and request through to final delivery and receipt.
- Prepare and process all relevant procurement documentation for goods and services in accordance with DRC procedures and donor requirements.
- Collect quotations from local vendors and suppliers and support local and small-scale procurement processes, including physical delivery or collection when required.
- Assist in preparing, organizing, scanning, and filing procurement documentation, ensuring completeness and audit readiness.
- Conduct local market surveys and price benchmarking exercises as requested by the Supply Chain Specialist.
- Participate in the evaluation of bids and proposals, ensuring that bid evaluation reports, technical evaluations, minutes of negotiations, and negotiated contracts (including consultant selections) contain all required facts and justifications to support recommendations.
- Assist in supplier communication and follow-up, including delivery schedules, availability of items, and resolution of missing or incomplete documentation.
- Participate in the joint verification and inspection of procured goods and equipment to confirm conformity with approved technical specifications and quantities.
- Support the preparation, verification, and quality/quantity confirmation of Goods Receipt Notes (GRNs).
- Oversee and support deliveries to and dispatches from DRC warehouses, ensuring all required procurement and logistics documentation is correctly completed.
- Maintain effective coordination and communication with warehouse staff across DRC locations and, where relevant, with partner organizations.
- Ensure that assets (new and existing) related to procurement processes are properly recorded, tagged, and supported during physical asset verification exercises.
- Correctly apply and support ERP (Enterprise Resource Planning) supply chain processes, ensuring accurate data entry, tracking, and recordkeeping.
- Provide support to emergency and urgent procurement processes when required.
- Warehouse and Asset Support:
- Assist with physical verification, stock counts, and spot checks of warehouse items and office consumables, and advise on restocking needs.
- Support the labelling, tagging, and recording of assets, equipment, and supplies in line with DRC asset management procedures.
- Assist in the preparation, organization, and filing of asset documentation related to issuance, movement, return, and disposal.
- Support the physical arrangement, movement, and storage of stock and equipment as requested.
- Participate in joint inspection and verification of procured goods and equipment to confirm conformity with approved technical specifications and quantities.
- Coordinate and track handover and return of assets between staff, ensuring signatures and proper documentation are obtained.
- Conduct and support physical asset verification exercises, ensuring all assets (new and existing) are properly recorded and tagged.
- File asset documentation and archive scanned records on the shared drive in accordance with filing standards.
- Oversee and support deliveries to and dispatches from DRC warehouses, ensuring all necessary documentation is completed accurately.
- Fleet Support:
- Support fleet management activities as required, in coordination with the Supply Chain Specialist.
- Coordinate and update daily vehicle movement plans and records.
- Support vehicle, fuel, and generator tracking, including logbooks, mileage records, fuel consumption sheets, and monitoring of generator fuel levels and maintenance status.
- Compile fuel consumption reports and support the preparation of monthly vehicle utilization analyses.
- Assist in tracking vehicle insurance, registration, inspection, and validity documents, ensuring timely renewals.
- Scan, upload, and file fleet-related documentation in line with documentation and archiving standards.
- Provide support during emergency fleet mobilization when required.
- Premises Support:
- Assist with premises inspections, including monitoring electricity supply, solar systems, and generator performance.
- Record, monitor, and report issues related to power sources (solar system and generator) to the Supply Chain Specialist.
- Monitor and log daily solar system readings when required.
- Support the switching between power sources (solar system and generator) in accordance with instructions and safety procedures.
- Assist in coordinating basic repairs and maintenance activities with electricians, technicians, or external vendors.
- Maintain logs and inventories of premises-related tools and supplies, including bulbs, fuses, and maintenance items.
- Support office safety and closing routines, ensuring lights, equipment, and premises are properly secured after working hours.
- Other Duties:
- Provide basic translation support (Arabic–English–Arabic) for short documents when required.
- Conduct data entry, archiving, and filing tasks related to procurement, fleet, warehouse, and asset management.
- Assist in the physical preparation and arrangement of venues for meetings, trainings, and workshops, when required.
- Perform any other supply chain or administrative duties as reasonably assigned by the Technical Manager under the supervision of the Line Manager.
- In exceptional cases, and upon prior written approval of the Line Manager, provide support to other departments as required.
About you
Experience and technical competencies: (include years of experience)
- Minimum of 1–2 years of relevant experience in supply chain, logistics, procurement, or administrative support, preferably within I/NGOs or humanitarian organizations.
- Basic knowledge of procurement and logistics processes, including purchasing, inventory management, and supplier coordination.
- Experience in preparing and maintaining procurement and logistics documentation, including purchase requests, quotations, delivery notes, and filing systems.
- Ability to support asset tracking, warehouse records, and stock management.
- Proficiency in Microsoft Office applications (Excel, Word, Outlook); experience with ERP or logistics systems is an advantage.
- Good organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain accurate records.
- Basic understanding of transportation and fleet support activities is an asset.
Education: (include certificates, licenses etc.)
- University degree in Supply chain, Business Administration, Accounting, or a related field.
Languages: Fluent in Writing and Speaking
- Fluency in Arabic
